The National Association of County and City Health Officials (NACCHO), a national organization representing approximately 2,800 local health departments (LHDs) nationwide, has an immediate opening for a Senior Program Assistant, Public Health Preparedness.
The Senior Program Assistant is responsible for providing professional support for programs or internal functional activities and typically performs moderately difficult project coordination, planning, analysis, research, and writing usually under the direction of a Senior Program Analyst and/or Director. The work of the Sr. Program Assistant supports the programmatic or functional work of the department, typically follows standard processes, procedures, and solutions, and includes project coordination, meeting planning/facilitation, research, analysis, and writing.
The Senior Program Assistant understands policies, standards, and their application to their work. The Senior Program Assistant understands implications of internal and external policies that impact their position. He or she typically performs duties and tasks with moderate supervision and helps to coordinate across programmatic activities internal to the division. The Senior Program Assistant may have frequent contact with outside organizations or internal stakeholders that may involve project coordination and information sharing. They may attend external meetings.
Program Specific Information
The Senior Program Assistant, Public Health Preparedness is responsible for supporting the implementation and coordination of multiple projects across the preparedness team. The Senior Program Assistant will work on multiple preparedness projects to provide administrative and programmatic support. Specifically, the Senior Program Assistant will support the management of NACCHO’s programmatic work groups, help plan and facilitate meetings and conference calls, draft correspondence and written work products, and facilitate the sharing of information and updates across the preparedness team. This position requires organization and attention to detail, the ability to learn and come up to speed quickly on new topics or programs, and strong written and oral communications skills. The ideal candidate is adaptable and willing to work on many projects and is interested in growing their knowledge and experience in the area of public health preparedness.
NACCHO’s Public Health Preparedness program aims to strengthen local health departments’ capacity and capability to implement evidence-based preparedness programs, policies, and services to meet national standards in preparing for, responding to, and recovering from all-hazards threats. In collaboration with federal partners, local health departments, and partner organizations, staff in NACCHO’s Public Health Preparedness portfolio develop and implement workforce development programs, provide technical and capacity building assistance, develop tools and resources, facilitate information exchange and peer-learning, and perform assessments and evaluations of preparedness practice nationwide. Additionally, NACCHO staff and workgroup members provide local health department input on federal preparedness guidance and policies, such as the Centers for Disease Control and Prevention’s Public Health Emergency Preparedness (PHEP) and Assistant Secretary for Preparedness and Response’s Hospital Preparedness Program (HPP) capabilities. NACCHO staff also develop, maintain, and implement infrastructure and processes to support local health departments prepare for and respond to public health emergencies and infectious diseases (e.g., Ebola, Zika.) The Senior Program Assistant may have the opportunity to work on one or more of these projects.
POSITION SPECIFIC DUTIES
Unit/Program Specific Duties • Supports the completion of project deliverables such as coordinating and executing conference calls and webinars, drafting reports/issue briefs, creating and updating web content, tracking and monitoring project activities in coordination with other NACCHO staff • Schedules, plans, and supports facilitation of programmatic meetings and conference calls (e.g., work groups) • Supports internal coordination across project and programmatic teams by sharing information and suggesting opportunities for improvement • Writes meeting and conference call summaries and tracks action items • Disseminates program information via electronic distribution lists, websites, and other communication mechanisms • Provides administrative support to a team of 15, as needed • Assists project staff in other duties, as assigned
Senior Program Assistants will have a Bachelors’ degree in a relevant professional field or the equivalent and two years’ work experience or equivalent combination of education and experience.
• Knowledge and/or interest in public health principles, practices, and policies, preferably within the field of preparedness or emergency management • Experience planning and coordinating meetings, webinars (e.g., Adobe Connect), and conference calls • Moderate level computer skills including Microsoft Office programs (Word, Excel, PowerPoint) • Strong organizational skills and attention to detail • Strong writing and oral communication skills, as demonstrated through education or work experience
JOB CLASSIFICATION: Full-time, Non-Exempt, TERM: This position is considered Fiscal Year term, however it is a mission critical role. NACCHO will continually strive to maintain funding for all positions.
HIRING SALARY RANGE: $24.00-$25.64 hourly, commensurate with experience
