As the Executive Coordinator and Board Liaison, this individual is responsible for providing administrative and strategic support to the Executive Director and will function as the primary contact person for the Board of Directors and associated working groups (Board Executive Committee, Board Development, Fund Development, and Finance. S/he will be expected to, on a daily basis, remain in regular contact with the Executive Leadership Team (ELT) and board members of the organization, keeping them informed of board and board committee activity. The EC will manage board logistics as they relate to committee and board meetings, board member trips, mailings and other important communications. The individual must be organized, proactive, resourceful, and efficient with an ability and desire to work independently with limited supervision and speak and write well and clearly. The ability to interact with internal and external stakeholders in a fast-paced environment, sometimes under pressure, while maintaining a positive and professional attitude is crucial in this role.
This position reports to the Executive Director and also works closely to support the President of the Foundation. This position requires travel, which includes annual in-person Board meetings, as well as support on the Leadership Conferences.
POSITION SPECIFIC DUTIES
Provide administrative support and serve as the primary contact for the Board of Directors and associated working groups -80%
• Guide ongoing and effective communication with the Board of Directors • Establish warm working relationship with the Board President and working group chairs in verbal, written, and electronic correspondence • Monitor Board communications calendar and coordinate with assigned staff to prepare and deliver their assignments • Monitor Board anniversaries and special occasions • Monitor board budget and prepare quarterly reports for Executive Director • Coordinate annual individual Board member meetings with Executive Director • Engineer and execute all meetings and events, coordinating contractors and vendors as needed • Create meeting(s) timeline, prepare and distribute meeting notifications, and agenda materials, managing all correspondence around meeting execution • Attend Board and working group meetings and record and circulate minutes • Maintain institutional memory around Board functioning • Keep current Board documents saved in Office365 • Create and maintain Board Manual and binder of relevant materials • Onboard new Board members • Mail new Board members hard copy of Board binder • Add new Board members to Office365 • Coordinate biography posting and social media announcement with Online Media Assistant • Coordinate Board fund development activities • Coordinate Board member donor thank you call program and input correspondence in donor database • Manage Board member house party support and coordination • Gather Board personal travel info and coordinate donor meetings when possible, handling all logistics for meetings • Serve as the engine for Board recruitment efforts (research, postings, identification, outreach, meeting coordination and prep)
Perform additional team responsibilities and administrative support – 20%
• Represent NACCHO at conferences and coalition meetings as requested • Other duties as assigned.
Bachelor's degree and certification in relevant professional field with a minimum of 3-5 years of relevant experience in high-level, administrative support; or equivalent combination of education and experience, including a minimum 3 years’ experience working with a Board of Directors and/or Board appointed committees. JOB CLASSIFICATION Part-time, Non-Exempt, TERM: This position is considered Fiscal Year term, however it is a mission critical role. NACCHO will continually strive to maintain funding for all positions.
HIRING SALARY RANGE: $31.00-$35.00 hourly, commensurate with experience
