Serves as administrative and technical support to the Brandywine Conference Center and Wilmington Campus meeting rooms by providing technical support for the state-of-the-art audiovisual equipment and operational support for the day to day operations. This position is also responsible for delivering an exceptional video conference and technology meeting experience to all staffing levels at Christiana Care Health System.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Coordinates scheduling of multiple event rooms across the Wilmington Campus. Manages scheduling for all meeting rooms at Wilmington through the scheduling software system (Resource Scheduler).
Oversees upkeep of the Brandywine Conference Center as well as meeting rooms at Wilmington.
As part of the daily operational support responsibilities this position will perform room rounding to conduct proactive technological equipment maintenance.
Regularly rounds all meeting rooms checking furniture cleanliness, carpet wear, and general repairs as needed. Follows through with maintenance, EVS, IT, and vendor service requests to resolution.
Completes room set ups, clean ups, and changes during the day shift. Coordinates set ups/changes with EVS for evening shift.
In conjunction with event sponsor, helps to facilitate all provided services to support special events (lectures, symposia, receptions). May include working with catering, environmental services, information technology staff, and security to insure resources are available before, during and after event.
Meets with the event sponsors to guide room set up, vendor needs, catering, and technological requirements prior to event. Is on hand during event to assist as needed insuring event flows as smoothly as possible.
Perform on-site analysis, diagnosis, and resolution of technological equipment problems for a variety of end users, to recommend and implement corrective hardware solutions, including off-site repair as needed.
Coordinates with vendors to upgrade, install, and maintain room system components.
Sets up videoconferences with sending participant and support staff at other sites, insuring connection is live and ready at start of event.
Monitor conferences and presentations to ensure all setup and technological needs are met.
Identify technological problems, make repairs, and communicate to appropriate staff, leadership, and vendors along with tracking problems via ServiceNow and Microsoft Teams.
Performs daily room inspections and weekly testing to ensure all functionality is in premium working order.
Oversees user education pertaining to knowledge of conference room policies, technological equipment operation, and Resource Scheduler usage
Assists the Conference Support Department with coordinating coverage and incident response across multiple campuses.
Assists the Conference Support department with coverage at all Christiana Care Health System locations including Newark and Avenue North.
EDUCATION AND EXPERIENCE REQUIREMENTS:
High school diploma required. Associates Degree preferred.
Three years' experience with audiovisual equipment and computers.
An equivalent combination of education and experience may be substituted.
