You Will Be Responsible For:
Responsible for independently managing candidate preboarding process post offer acceptance.
Initiates and maintains all candidate processing updates on correct facility orientation logs, interacting with the candidate directly where necessary. Advises Recruiter, hiring manager and local facility HR office of any candidate not cleared for hire prior to their scheduled start dates.
Initiates the execution and completion of all background checks in accordance with the requirements of the Job Description and State in which the candidate will be hired, following up with the candidate and vendor where necessary to ensure completion within the guidelines. Escalates any alerts for clearance decision to Sr. Manager Deployment and Analytics.
Contacts background vendor to escalate background clearance where process is not being performed within contracted SLA. Advises recruiter and Sr. Manager of reasons for delays. Tracks and trends delayed report data.
Obtains archived reports from background check vendor system as needed by local facilities for regulatory or accreditation audits.
Initiates and coordinates all Level II background screening. Verifies clearance in appropriate state agency database and uploads results to Document Management System prior to the new hire’s first day of employment.
Assists candidate in managing the logistics of the Level II background check.
Monitors completion of references and generates Hiring Manager report sending to hiring manager (cc recruiter) prior to interview or at minimum, prior to execution of hire. Assures hiring manager confirmation of reference to proceed with hire execution. Follows up with candidate as necessary to assure timely completion.
Schedules EHS appointment on instruction from Recruiter.
Contact candidate prior to EHS appointment to ensure they are well prepared with all the required documentation, address details and are conscious of the time constraints.
Communicates with EHS provider to ensure timely completion of clearance for hire.
Assure candidates complete preboarding documents in Taleo transitions, following up where necessary to ensure completion within time line.

The Talent Acquisition Preboarding Specialist is the candidate liaison for preboarding, creating a positive experience for New Hires joining the Adventist Health System workforce as well as employees transitioning to a new / additional role. As the owner of the administrative function of preboarding, the Specialist ensures that information and records collected and processed during the selection and preboarding process are accurate and in compliance with both policy and State and Federal regulation and accrediting bodies.
